Efficient inventory management is essential for running a successful practice, and EyeDock makes it simple with powerful tools to set up, organize, and customize your contact lens inventory. From initial setup to private labeling, EyeDock streamlines the entire process.

Lens Inventory Setup Wizard

The Lens Inventory Setup Wizard is designed to help you quickly configure your inventory and establish initial pricing, so you can start using the system with minimal effort.

Lens Inventory List View

After setting up your inventory, you can manage it using the Lens Inventory List View. This interactive table offers a structured and intuitive way to view, edit, and update your contact lens inventory.

The Lens Inventory List View in EyeDock PM provides an intuitive way to manage your contact lens inventory. This section outlines the key features and tools available to help you streamline inventory management, track profitability, and ensure accurate pricing for your patients.

Managing Lens Availability

Each lens in your inventory includes an Active switch control, allowing you to quickly toggle whether a specific lens is available for use in price quotes.

This feature enables you to manage your inventory dynamically, ensuring that only the lenses you actively stock are visible to your team.

Lens Details at a Glance

The inventory list provides essential information about each lens, enabling quick identification and management:

  • Lens Name: Displays the name of the contact lens for easy reference.
  • Lens Quantity: Indicates the package size, such as 6-pack or 12-pack, so you can differentiate between product variations.
  • Replacement Schedule: An icon visually represents the lens replacement schedule (e.g., daily, 2-week, monthly), helping you quickly identify the lens’s intended usage interval.
  • Lens Type: Another icon shows the type of lens, such as sphere, toric, or multifocal, making it easy to distinguish between different product categories.

These details allow you to quickly locate and manage lenses within your inventory.

Pricing and Profitability

EyeDock PM simplifies pricing and profitability tracking with the following features:

  • Retail Price: Displays the price at which the lens is sold to patients. 
  • Wholesale Price: Shows the cost of purchasing the lens. For more details, see the section Regarding Wholesale Prices below.
  • Profit/Box: Automatically calculated as the difference between the retail price and the wholesale price, giving you an instant view of your profit margin for each box sold. 
  • Boxes/Year: Indicates the number of boxes required for a year’s supply, based on the lens replacement schedule. This assumes the patient is wearing this brand of lens in both (two) eyes.
  • Profit/Year: Automatically calculated as Profit/Box × Boxes/Year, providing a clear picture of annual profitability for each lens. 

These pricing tools empower you to make informed decisions about pricing strategies and inventory management.

Rebates and Patient Costs

EyeDock PM provides built-in tools to help you account for manufacturer rebates and calculate patient costs accurately:

  • Rebate Information: Displays any available manufacturer rebates for the lens. For more details, see Managing Rebates.
  • Patient Cost: Automatically calculates the total cost a patient will pay for a year’s supply, factoring in any applicable rebates. This assumes the patient is wearing the same lens brand in both (two) eyes.

Inline Actions

EyeDock PM provides several inline actions to make managing your inventory quick and efficient:

  • Toggle Active/Inactive: Quickly enable or disable a lens by checking or unchecking the box in the “Active” column.
  • Edit Retail Price: Click directly on the retail price field to update the price as needed.
  • Edit Wholesale Price: Similarly, you can click on the wholesale price field to make changes instantly.

These inline actions enable you to make real-time updates without needing to navigate away from the inventory list.

Details Page

You can easily edit a lens's details by clicking directly on its row in the Lens Inventory List. This allows you to activate or deactivate the lens, as well as update its retail and wholesale prices. Additionally, you can view pricing from 1-800-Contacts - and, in the future, other online vendors - as a reference to help you establish competitive pricing for your practice.

Inventory Filters

The Lens Inventory List includes a variety of filters to help you quickly locate and compare lenses:

  1. Name: Filter lenses by their name to easily find specific products. Simply type the lens name or relevant keywords into the search bar.
  2. Replacement Schedule: Narrow down lenses by their replacement schedule, such as daily, weekly, 2-week, or monthly intervals, to focus on lenses that meet specific patient requirements.
  3. Lens Type: Filter by lens type, including sphere, toric, multifocal, and more, making it simple to compare lenses within the same category.
  4. Price Range: Use the Min Price and Max Price filters to display lenses within a specific price range.

    These filters are especially useful for comparing similar lenses side by side, enabling you to evaluate their pricing and select the best options for your practice and patients.

You have the option to view only active lenses, which is the default setting, or expand your view to include all lenses, including those you have inactivated

Regarding Wholesale Prices

Wholesale prices are entered manually by the user and are not imported automatically. These entries are entirely optional and serve as a helpful tool for your practice to make informed decisions when setting prices and prescribing lenses. When wholesale prices are provided, EyeDock PM will use them to calculate key metrics, such as profit per box and profit per year of supply, providing you with valuable insights into your pricing strategy and profitability.
